Student Records department maintains personal, academic, registration, transcript, and graduation information.

Catawba Valley Community College is committed to providing accurate and secure management of student academic records. Student records consist of, but are not limited to, admission and demographic information, registration, student transcripts, and graduation.

Substitution Limitations

CVCC may allow courses to be substituted in a curriculum for a student ONLY under extenuating circumstances and ONLY if the substitution is within the NCCCS Curriculum Standards. Substitutions of curriculum core, concentration courses, and pathway program courses are NOT permitted. The substituted course hours MUST equal or exceed the hours for the required course in the curriculum unless an exception is offered in the state standard.

Course substitutions must be recommended by the student’s academic advisor. Course substitutions must be approved by the department head (or dean, if the department head is also the advisor) of the student’s academic program area, by the department head responsible for the course to be substituted, and by the director of Student Records.

CVCC has developed a list of Blanket Course Subs to address coursework that has already been completed or credits that may have been granted from another regionally accredited college. These documents do not provide permission to take a course that is not listed in your curriculum.

CVCC Transcript requests for Curriculum, Continuing Education, and High School/GED

Note – CVCC does not provide copies of transcripts, immunization records, or information from other institutions or organizations that have been received by the college. These documents must be requested from the originating institution or organization.

Transfer credits are awarded after an evaluation of accredited institution, military training, or foreign institution transcripts have been received.

Official transcripts are required to complete the admission process. Find the type of school you attended below and follow the directions. CVCC does not accept transcripts by email.  Official transcripts must be submitted directly from the high school, college or testing agency in one of the following ways: 

  • Electronically through a third party vendor (ex: Parchment, ScriptSafe, National Student Clearinghouse) to [email protected]; or
  • Postal mail to CVCC Student Records, 2550 US Highway 70, SE, Hickory, NC 28602.

Q. Where do I purchase graduation merchandise (i.e. cap, gown, etc.)?
Q. What do I need to know if I plan to take courses at another college and apply them toward my CVCC degree?
A. The college must be a regionally accredited institution. Courses taken must equate to the CVCC courses required for your program of study (major). Grades earned must be a “C-minus” or higher. An official transcript must be submitted to Student Records for evaluation.
Q. What steps do I need to take to apply for graduation?
A. To apply for graduation, follow the steps below:

  1. Visit your MyCVCC Portal Account.
  2. On the Main Page, click “Self-Service Menu” > “Self-Service Homepage” > “Graduation Application”.
  3. Click “Graduation Overview”.
  • Choose Program: You will find a list of your current, active programs. Click on “Apply” for the program you want to graduate from.
  • Graduation Term/Semester: From the drop-down list, select the term or semester in which you will be graduating from.
  • Shipping Address: Choose where you want your diploma to be sent. The address that CVCC has on file will be listed. You may choose that address or enter a different address.
  • Graduation Fee: Proceed to payment for graduation. You will recieve an email to your CVCC student account confirming that your payment and application were successfully received
  • Graduation Email Confirmation: The confirmation email you receive will include additional important information.

Q. When will I receive my printed diploma?
A. Digital diplomas will be sent via Parchment within 1-2 weeks after the end of the term. Please check your CVCC student email account for the link to your digital diploma as well as to track information regarding your printed diploma. Printed diplomas are typically mailed by Parchment 1-2 weeks after you receive access to the digital diploma.

Q. What are full commencement privileges?
A. Full commencement privileges include: name printed in commencement bulletin and review of graduation requirements to ensure timely posting of degree and credentials to your academic transcript. Full privileges will be awarded to individuals who submit their graduation application by the priority deadline date.

Q. After I have graduated, what do I need to do to take additional courses?
A. Congratulations on your graduation from CVCC! If you would like to take additional courses, please email [email protected] or meet with one of our Enrollment Managers to declare a new program of study.

Q. What transcript request option should I use if I need my transcript “held for grades” or “held for degree posted”?
